How to use "My History" in VetVerifi to view, manage, sort and clear verifications across your account's view.
In this article we will dive into the verification history dashboard and provide important context for the “type”, “status” and “detail” options, their definitions and the available columns of data available within the VetVerifi system.
Let's start by reviewing the verification history search criteria.
Users can search for a specific pet, owner, verification date, past verification (labeled Historical) and a variety of other verification specific information.
TYPE
“Type”: is the distinction between an “instant” or “fetched” verification.
- An instant verification is only possible when a pet record has been found within our database of veterinarian contributed data (a nightly refresh of real-time vaccine records for all pets within their clinic).
- A fetched verification is the retrieval of the vaccination record from a clinic who prefers to communicate individually to each verification request vs sharing their entire client roster with VetVerifi.
STATUS
“Status”: is the current state of any verification that will pass through, or has been completed, within the VetVerifi verification process.
There are three (3) main status types.
- “In-progress”: which are any pets on the reservation schedule within the next 14 days that are missing a required vaccine according to the specific vaccination requirements of each pet services facility (this is configured and set-up in the implementation process). For example, if a pet services provider requires Distemper, Rabies and Bordetella; and a pet missing one of these required vaccination is on the reservation schedule within the next 14 days, this will automatically generate a verification request and will be placed within “in-progress”.
- “Clear”: which are any verifications that have been completed, where the current vaccine information delivered to VetVerifi by the veterinarian clinic, meets the specific vaccination requirements of the service facility.
- “Not Clear”: which are any verifications that have been completed, where the current vaccine information delivered to VetVerifi by the veterinarian clinic, does not meet the specific vaccination requirements of the service facility.
Within each of the three (3) main status types is a specific description of any pertinent details about the timing of the verification or other information about issues in processing the vaccine data.
IN-PROGRESS
In-progress “details” include:
- Upcoming Reservation: any vaccination verification required that is up to 8-15 days out from the date of the service provider’s scheduled appointment.
- Fetching: These are verifications in-progress that are associated with an upcoming reservation and that are within 7 days of the date of the service provider’s scheduled appointment.
- NOTE: Any verification identified as “fetching” are currently being worked by the VetVerifi verification workflow. Verifications are typically completed and returned to the client within 5 days of the scheduled appointment to provide ample time for the service facility to navigate any issue with the verification returned directly with the pet owner.
CLEAR
Clear “details” include:
- Current: which are any verifications that have been completed, where the current vaccine information delivered to VetVerifi by the veterinarian clinic, meets the specific vaccination requirements of the service facility
- Resolved by Client: which are any verifications that have been verified as current by VetVerifi, yet the service provider has updated the CRM directly with the vaccination record (typically this represents duplicate work occurring between VetVerifi and our service provider client).
- Client Verified: which are any verification requests that the service provider has asked us to remove from the VetVerifi workflow. The primary example being an in-house vet clinic where the service provider maintains a separate process for verification work with the in-house or sister veterinarian clinic.
- Appointment Canceled: which are any verifications that entered our verification process but has been rescheduled or canceled before the verification work is completed.
NOT CLEAR
Not Clear “details” include:
- Expired/Missing: which are any verifications that have been completed, where the current vaccine information delivered to VetVerifi by the veterinarian clinic, does not meet the specific vaccination requirements of the service facility
- Pending Appointment: which are any expired/missing verifications where VetVerifi has confirmed the pet owner has an upcoming appointment with the vet clinic.
- Record Not Found: which are any verifications where the veterinarian is unable to locate the record of the requested pet vaccine record. If available, VetVerifi will attempt to re-verify the pet record with secondary pet owner information.
- Clinic Not Responsive: which are any verification where VetVerifi has exhausted the retrieval workflow without a response from the clinic. This includes multiple email, text and phone requests.
- Vet Info missing: which are any verifications where a Vet Clinic is not listed within the pet or pet owner details from the pet services CRM. Please note, many states require vet clinic information to be maintain by the service provider to be in-good standing with the facilities business license.
- Vet Info Incorrect: which are any verifications that have failed based on incorrect veterinarian contact info such as a wrong email address entirely for the specified vet clinic on file for the pet.
- Prior Issue: which are any verifications in which a previous verification has been completed within the last 14 days. These typically represent pets who have known issues with vaccination records, who do not have a pending appointment with the vet clinic, yet the service provider has elected to provide limited services to the pet.
REPORT PARAMETERS
Once a set of criteria has been selected within the search bar the verification records have been organized by: Verification Date, Days to Reservation, Pet, Owner, Company Name, Status, Detail and Attachment.
- Verification Date: is the date the specific pet enters the VetVerifi verification workflow.
- Days to Reservation: is the number of days until the pet’s individual reservation date with the service provider.
- Pet: is the name of the pet on the reservation.
- Owner: is the name of the pet owner on the reservation.
- Company Name: is the specific pet services company or individual location of the reservation. Service providers with multiple locations can display verification records for each specific location vs all locations as a configuration.
- Status: is the current status of the verification as it is passing through the VetVerifi verification workflow.
- Detail: are any pertinent details about the verification.
- Attachment: are any available attachments such as vaccination certificates, rabies certificates, medical records or veterinarian communication that has been captured during the verification process.
Within the specific attachment is a field designated “Client Alert Summary” which are our in-house veterinarians verification notes with specific detail about any issues with the record received by the clinic.
